Job Description – Accountant
Reports To: Owner
FLSA: Non-Exempt

Position Summary:

The Accountant is responsible for processing transactions including accounts payable, account receivable, payroll and job costs. The Accountant works closely with the operations team to monitor the progress of projects, investigate variances, process expenses, and ensure that project billings are issued to customers and payments are collected. This position requires the ability to work on assignments that are complex in nature where independent action, judgment and a high degree of initiative are required. The Accountant requires strong combination of analytical, decision making and interpersonal skills.

Additionally, as this position is part of the accounting department, this position supports the mission and goals of the accounting department including: providing superb client service to the sales and operations divisions, develop and implement internal controls and process, and record accurate financial data.

Job Duties and Responsibilities:

  • Enter project details in the accounting system and related operating systems; obtaining project specific Insurance for ourselves and our subcontractors if applicable, including OCIP and CCIP Projects; A/R billings and collections
  • Ensure AR aging is accurate and agrees to the TB
  • Generating A/R Lien waivers & collecting upfront supporting waivers as needed
  • Process job cost transfers as requested by project managers
  • Assist with any data and backup as needed for assistance with year-end auditing for job related queries
  • Enter all jobs and make sure all Job Rec’s are received
  • Request and follow up on COI
  • COI renewals and filed appropriately
  • Monitor cash and prepare weekly cash forecast for ownership
  • Ensure cash in general ledger is accurate daily
  • Deposit checks daily in the bank using the scanner
  • Record cash deposits in the general ledger
  • Record all cash deductions/ACH in the general ledger
  • Reconcile, record and process all credit card transactions timely and accurately
  • Set up new vendors and obtain a W9 for each vendor
  • Process and record all accounts payable invoices timely and accurately and make and send payments as approved ensuring there is a PO and packing slip for each invoice
  • Enter all PO’s that are non-job related
  • Ensure AP aging is accurate and agrees to the TB
  • Obtain all new hire employee forms
  • Maintain personnel files
  • Ensure all employees sign off and follow company policies
  • Process child support payments
  • Pay and process weekly payroll tax payments and union payments monthly
  • Provide 401k report for payment
  • Update union withholdings when rates change or individuals change levels; ensure all union set up is accurate § Ensure all non-union employee deductions are accurate and processed correctly
  • Enter new employee data
  • Record weekly timesheets into the payroll system and work with payroll vendor to process payroll and prepare quarterly
  • Prepare and share labor forecast report weekly
  • Confirm verification of employment when requested
  • Prepare certified payroll reports as required
  • Bill for labor if applicable
  • Coordinate union audits, workers comp audits, and information needed for year-end tax return
  • Administer the accounting system
  • Assist with month end reconciliations as required
  • Ensure expenses are properly coded between direct, indirect and overhead
  • Maintain all vehicle records for maintenance and insurance purposes
  • Ensure all vehicle policies are in place and followed

  • Structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.

  • Strong level of attention to detail.
  • Use logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems.

  • Ability to manage and prioritize multiple projects and deadlines.
  • Work and communicate effectively with individuals at all levels, including executives.

Education and Experience:

  • Associate degree from an accredited college or university preferred; or 3 years related experience and/or training; or similar combination of education and experience.
  • Fluent with Microsoft Office Suite.
  • Previous work experience in the construction industry preferred
